It shall be the responsibility of the Bidder to ensure credit of Tender Processing Fee and EMD into the respective receiving bank accounts of e-Procurement on or before the last date and time of bid submission.

EMD Payments through e-Payment mode shall be made as one single transaction and payments made in part are liable for rejection.

The quoted Brand shall have direct presence in India for at least 15 years.

OEM / Bidder shall have valid ISO 9001:2015 and ISO 14001:2015 certification

Bidder shall have a registered office in Karnataka and shall have adequate technical manpower to support installation and troubleshooting. Details shall be submitted.

Bidder shall submit escalation matrix and support contact details.

Technical Compliance Sheet, Technical BOM and relevant datasheets shall be submitted.

For Wireless Access Point OEM should have a TAC support center based out of India with 24/7 support, OEM should have experience with large deployments 3 nos with more than 1000 plus access points in India, OEM should have ITSAR Certificate, OEM should have Wi Fi Alliance Certificate, OEM should have MTCTE Certificate

All Passive components are from single OEM, Offered Brand should have direct presence in India for last 15 Years Incorporation certificate should be enclosed, Offered Brand & Models should be reputed & field proven, Offered Brand should have ISO 9001, ISO 14001 and ISO 27001 certifications

Before submitting the bid bidders are strongly advised to conduct a site visit to the Institute Transit Hostels and the IIIT Dharwad Permanent Campus to familiarize themselves with the existing network infrastructure deployment environment and technical requirements of both existing and proposed setups. The proposed solution shall be fully compatible with and seamlessly integrate into the Institute existing network infrastructure including but not limited to existing wireless network management system network security infrastructure authentication mechanisms and all other relevant network components without requiring any replacement or modification of existing infrastructure. The proposed solution shall also be designed to ensure compatibility with the Institute permanent campus infrastructure so that the procured components can be seamlessly reused upon migration from Transit Hostels to Permanent Campus in future. It shall be the sole responsibility of the bidder to verify the compatibility of the proposed solution with existing infrastructure during the site visit. Any assumptions regarding compatibility made without conducting the site visit shall be entirely at bidder own risk. No additional cost or claim shall be entertained from successful bidder at any stage on account of incompatibility inadequate site knowledge integration issues or any other reason arising from failure to assess existing infrastructure. The bidder shall ensure that the proposed solution is fully operational and seamlessly integrated with Institute existing network infrastructure upon installation commissioning testing and final acceptance. All expenses incurred towards the site visit including travel boarding lodging and other incidental expenses shall be borne solely by the bidder. The site visit may preferably be conducted during the period 22/07/2026 to 31/07/2026 Interested bidders shall send their request for the site visit by email to procurement and tech at IIIT Dharwad at least two 2 working days prior to the proposed date of visit. The Institute will confirm the visit schedule subject to availability

Bidder should provide 3 years warranty or Higher for all the items mentioned in the bill of materials

Prices quoted should be valid for a minimum period of 30 days from the date of quote

The entire scope of installation, commissioning, testing, user training, warranty support, preventive and corrective maintenance, and replacement of defective components during the warranty period shall be the sole responsibility of the successful bidder. No additional charges shall be payable by the Institute for these services during the warranty period.
