SUPPLY AND INSTALLATION OF FITNESS EQUIPMENT TO BOYS AND GIRLS HOSTEL, KITTURU RANI CHANNAMMA UNIVERSITY, HIREBAGEWADI, BELAGAVI

The tenderer should be a manufacturer who must have manufactured, tested and supplied the equipment (s) similar to the type specified in the ‘Schedule of Requirements’ up to at least xxxx % of the quantity required in any one of the last 3 years. The equipments offered for supply must be of the most recent series models incorporating the latest improvements in design. The models should have been released on or after xxxxx and be in satisfactory operation for xxxxx months as on date of tender opening. Certificates to be provided as per Section XII of Tender Document.

In case of authorized representative/dealer of a manufacturer - The manufacturer furnishes authorization in the prescribed format assuring full guarantee and warranty obligations as per General Conditions of Contract and Special Conditions of Contract. Manufacturers Authorization Form to be provided as per Section XIII of Tender Document.

In case of authorized representative/dealer of a manufacturer - The tenderer, as authorized representative/dealer , has supplied, installed and commissioned satisfactorily at least xxxxx % of the quantity similar to the type specified in the Schedule of Requirements in any one of the last three years which must be in satisfactory operation for at least xxxxx months on the date of tender opening. Certificates to be provided as per Section XII of Tender Document.

The legal status, place of registration and principal place of business of the company or firm or partnership.

Details of experience and past performance of the tenderer on equipment offered and on those of similar nature within the past three/five years2 and details of current contracts in hand and other commitments.

A detailed description of the essential technical and performance characteristics of the goods.

A list giving full particulars, including available sources and current prices, of spare parts, special tools, etc., necessary for the proper and continuing functioning of the goods for a period of two years, following commencement of the use of the goods by the Purchaser.

Item-by-item commentary on the Purchaser's Technical Specifications demonstrating substantial responsiveness of the goods and services to those specifications or a statement of deviations and exceptions to the provisions of the Technical Specifications.

The Bidder must have successfully executed similar work (Supply, Installation, Testing, Commissioning of Commercial Fitness/Gym Equipment) in Government / Public Sector / Universities / Autonomous Educational Institutions during the last 3 to 5 years meeting any ONE of the following a) Three similar completed works costing not less than 40% of estimated cost (Rs 12,00,000/- each), OR b) Two similar completed works costing not less than 50% of estimated cost (Rs 15,00,000/- each), OR c) One similar completed work costing not less than 100% of estimated cost (Rs 30,00,000/-)

Out of the total past experience, the bidder MUST have successfully executed at least ONE single institutional gym/fitness center project of value not less than Rs15,00,000/- directly for a Central/State University, Government Engineering College, or Premier National Institute (IIT/NIT/IIM).

The tenderer should be a company or a Limited Liability Partnership Firm or a registered partnership firm or a Proprietorship concern

Bidder must hold a valid GST Registration Certificate and possess up-to-date statutory compliances. Latest GST clearance certificate / GST 3B returns for the last 3 preceding consecutive financial months (up to recent period) must be submitted.

any contractor employing 20 or more contract workers on any given day must hold a valid Labour License

If the bidder is an authorized dealer/distributor, a Manufacturer Authorization Form (MAF) specific to this Tender Reference must be submitted from the original gym equipment OEM.

All offered commercial fitness equipment must comply with international safety standards (ISO 9001:2015, ISO 14001, CE Certification, or EN957 commercial grade certification).

The bidder must provide a minimum 3-year Comprehensive On-Site Warranty including spare parts, biomechanics calibration, and quarterly preventative maintenance checks

To ensure standard biomechanics, safety, uniform design aesthetic, and single-source replacement spare parts, all heavy cardio (Treadmills, Ellipticals) and strength machinery MUST be from a single top-tier commercial OEM brand with minimum 10 years of presence in India.

The Bidder must have a fully functional direct local Service Center / Authorized Technical Service Representative within 150 km of the University / in Karnataka state with qualified service engineers. Maximum allowable downtime for breakdown resolution is 24-48 hours

Bidder must produce a Solvency Certificate issued by a Scheduled / Nationalized Bank for an amount not less than Rs15,00,000/- (50% of tender value)

Bidders must be prepared to arrange a live physical equipment demonstration / site visit to an existing operational installation within 7 days of technical bid opening for verification of structural heavy-gauge steel frame thickness (min 3mm-4mm tubing), biomechanics, and safety

The bidder must submit a notarized affidavit stating that the firm has never been blacklisted or debarred by any University, Central/State Government department, or PSU in India.

The Bidder must have submitted Income Tax Returns (ITR) for the last 3 Financial Years (FY 2025-26, 2023-24, and 2024-25). Also last Three years Balance Sheet, Profit and Loss account statement.

Average Annual Financial Turnover during the last 3 financial years must not be less than Rs 30,00,000/-.
