Environmental Upkeeping - Rendering mechanised environmental Upkeep Services - land area including ramp = 5025.00 Sq. m. Total basement area = 643.00 Sqm. Total carpet area = 6182.00 Sqm. A. Common area cleaning in podium, floors, basements, traces, machine roms, all services rooms, substation etc. B. Toilets cleaning, maintaining of common ladies/gents toilets C. Cleaning of all around the building periphery, driveways & roads by Mechanical Sweeper including periodical cleaning of all pit.
Waste Management & Proper disposal A. Empty all garbage containers, wipe clean and replace liners B. Collect the waste papers, empty the garbage bins, waste paper baskets and arrange to carry away from the premise to the common garbage dump C. Keep dump area reasonably in a clean condition D. Garbage segregation needs to be followed before disposal E. Disposal of collected garbage at nearest dumping vat of Municipal Corporation. Necessary permission in this regard should be obtained by the agency.
Security Management (i) Security personnel should be provided at main entrance of the premises. (ii) Security team will have to make coordination with Government security agency, if any.
Lift Operation A. The lift operator must possess license to operate the lift. B. Must check the lift on all maintenance work so that the lift is ready for operation. C. Must keep the lift always clean. D. Must be aware of all locations and facilities available in the building. F. He is to report weekly / monthly to Executive Engineer, West Kolkata Electrical Division or his authorized representative regarding the condition of the lift. G. Emergency escape from lift. H. Disorder Board when lift in maintenance
Horticulture Management A. Landscaping of the area from time to time. B. Watering of the plants and flowers daily basis. C. Growing new plants if provided by the client. D. Getting right fertilizers for proper growth of plants and flowers. E. Monitering of the garden and cleaning of the bushes time to time manner. F. Cutting of the leaves and grassing on time to time basis.
Water Supply Management A. Moniter pump operations at scheduled intervals and ensuring available water supply all time. B. Cleaning of water reservoirs present once in every three month C. Provide water test report after cleaning of the water reservoirs. D. The agency will ensure that all the pumps are operational and inform PWD for any repair of the same.
Pest Control Management (i) Daily mosquito treatment (ii) Rodent treatment as an when required (iii) Snake treatment as an when required. (iv)Cockroaches and Flies treatment as an when required. (v) Termite treatment as and when required.
Fire Safety Management A Fire safety must be monitored 24 x 7 basis B) Fire wardens will ensure for – a) Sufficient amount of water in reservoir b) Fire Pumps, valves and pressure gauges are serviceable c) No pressure drop in Hydrant & Sprinkler line including periodical cleaning all valves. d) Visually check for the serviceability of detection system e) Should monitor expiry date and pressure of all extinguishers and ensure that all the extinguisher are in proper conditions. f) De-greasing & Greasing bearing and gland of Pump & motor time to time g) No rusty water in riser or branch line h) Intimate authority to refill extinguisher well before expiry date i) Training / briefing for vendor staff every month j) Electrician should carry out Daily check of Diesel Pump. k) Agency will ensure that all the pumps are operational and PWD may be informed any repair of the same l) Fire Drill
Reception Management A. Confirm their purpose of visit from the person they want to meet. B. Guide them to reach out to the concerned person. C. Deal with queries of the visitors. D. Monitor visitor access and maintain security awareness. E. Answer, screen and direct telephone calls. F. Provide required information to the callers G. Receive, sort and distribute mails/ letters.
Key Management To preserve and hand over keys to the occupiers as an when required.
General Management Services Provide Facility Manager and Facility Executive competent enough to handle State Secretariat building. They should have proper knowledge of the Protocols as per norms, who would work with close co-ordination with PWD Civil and receive and deliver charges as per assignments given time to time and report to the Assistant Engineer PWD Civil as and when required. They should provide Snag List and prepare Monthly Maintenance Reports so as to facilitate the department in maintaining the building. Monthly Service report must be submitted to the Authority to evaluate the performance. The Facility Manager will review with the client the monthly performance along with the Authorized person from the client office.
Vehicle Management Services at periphery / driveway and Basement:- a. The deputed staff will ensure access control at the main gates. b. They will ensure that all movements inside the premise are registered. c. All car movements need to be recorded. d. They should be in proper uniform and have identity cards. e. All material movements needs to be controlled by them. f. They will keep the records of all such movements. g. Patrolling of the premise and it’s surveillance at regular intervals is mandatory. h. Any abnormality needs to be recoded and informed to the Caretaker of the client. i. Inventory of all assets is the responsibility of the team. k. Manning of car to their respective car parking positions and movement of guest cars.
Electrical Management Services:- a. This scope demands for presence of 1 licensed electrician in every shift. b. The person will be responsible to provide all emergency support related to electrical supply. c. He will co-ordinate with PWD electrical division for all emergency faults and works. d. His responsibility will be limited to the common area electrical support. e. He will address emergency requirement in the flats only if asked for by the owner after immediately reporting the same to the designated Executive Engineer, Electrical Division, PWD or his authorized representative. f. All required tools and tackles to carry out this job needs to be provided by the vender. g. On demand all consumables will be provided by the department.
Other management services • Top Floor Guest House management. • Service of cooked food and beverages at the Guest House- to be paid as per consumption by the client as per mutually agreed rates. • Changing and cleaning of linen. • Providing toiletries in the rooms. • Provide errand services to the room guests. • Cleaning of Chairs, sofas, upholstery, blinds as and when required
