Venue setup complete as per direction of OIC including of:

Designing, providing and placing Welcome Boards 20ft x 12ft with black back on wooden/ metal frame at AAI Club to be placed by 31st Morning or earlier.

LED Wall P3 - 30' x 10' with watchout including riser on the stage with proper supports, stands, masking with branding etc. inclusive of all required hardware, software and graphics designing of slides for Event & Presentation AV.

Designing, providing and placing Flex Standee with Iron Frame 4'x 8' with required lighting

Console set up with platform & masking for Video, LED, Light & Sound etc.

Videographer with HD camera at the venue

Designing, providing and placing Live editing table, Splitter, Matrix Switcher, RC Cables, sound system etc. (as per audio-visual requirements of Artist)

Photographer with HD camera for still photography

Ushers (female) shall be available (05:00 PM to 10:30 PM)

Green Room set up ( of size 15ftx10ft aprox) for Artist performing in cultral program having facility of Sofa, table, Dressing table, chair, Big mirror with light, carpet etc as per requirement of artist and direction of OIC.

Providing and fixing alluminium bar based professional T Truss (approx. 12' height) to accommodate multicolor lights as per direction of OIC.

Theme-Entrance 3D Gates with Digitally printed branding backlit on Acrylic or Polycarbonate sheet (as per width and height required for gate in AAIOI ) as per design approved by AAI . Theme based Entrance Paths and pre-function area with thematic props. 3D Effects with intelligent adequate lighting for Entrance including floral work with rangoli at complete function area as directed by OIC.

Setup of Dias Table (for minimum 10 pax) with premium quality VVIP Chairs, branding & podium with sunboard branding at AAIOI/ JLN stadium having table top bouquet (atleast 10 Nos)

Providing and fixing high density aluminum bar based Professional box truss based multi-color craft stage lighting, Laser lights, avolite, follow spot, profile lights, projection/stage element with pearl 2010 lighting mixing board with engineer etc or as per requiremnet for cultural event . (The size of truss shall be as per requirement of stage and artist)

Providing and placing Proffesional Line array acoustic system mounted in line DNB/RCF/JBL with bose pan array system, top & subwoofer speaker, stage delay monitor & Yamaha M7CL or equivalent digital mixer & sound engineer as per technical requirement of Artist.

Providing and placing Guest photo booth / Selfie Stand with themed set up of size 10' x 6' or as per requirement at the entrance / foyer with decoration including all necessary lights/cables/equipment etc.

Providing & placing Q-Managers.

Theme-Entrance 3D Gates with Digitally printed branding backlit on Acrylic or Polycarbonate sheet of size 36'x15' (aprox or as required for CFT) at main entrance and 28'x15'(aprox) at VIP Gate of SAI Weight Lifting Auditorium, Jawahar Lal Nehru Stadium as per design approved by AAI . Theme based Entrance Paths and pre-function area with thematic props, 3D Effects with intelligent adequate lighting and Floral work with rangoli for VIP entrance and other entrances.

Welcome gate for VIP entrance at auditorium as per requirement with floral work at gate and railings up to the entry to auditorium. The planter with good quality of plants is to be kept on both side of passage.

Stage - with complete Border Lighting, High Definition LED walls P3 (for running graphics and live feed) 40'x 14' - 1 no. and 14'x 8' -2 nos. (for running graphics, 3D logos animation and live feed) inclusive of supports, stand, masking with branding etc., inclusive of required hardware, software and graphics designing of slides for Event & Presentation AV as per design approved by AAI (Total Backdrop Height 20'- 22'), Theme lighting; Special Pyrotechnic - theme based. Raised platform for Band approx 36'x8' or as per requirement of the Artist. Theme is to be decided by AAI. The top surface of the existing stage and extended stage should be at same level with premium quality carpet or as required material for performances in order to have undulation free floor and suitable for dance group/ artist. Flower decoration with marigold yellow, orange lotus making maharav on stage and stairs along with grill and Dutch camelion roses, chrysanthemum and gurbera flower on edge of the stage as per direction of Officer in Charge Note: The extended portion of the stage shall be paid in BOQ item no-15.4

Providing and fixing Laser/ Scaffolding Stage on either side of existing stage with adequate load capacity of performance, band, dance group etc with flooring and both side stairs complete and shall be decided as per artist requirement or as per site conditions. The height should match with the existing stage. The extended plan area shall be measured for payment.

NOCs & permissions as per requirement of auditorium & performers - Police NOC, Fire NOC, Traffic NOC, PWD NOC, ET NOC, Entertainment Tax NOC, PPL, IPRS, NOVEX , NDMC, MCD or other NOC as required as per Govt. norms.

Printing of invitation card of approx. size 6"x 8" including envelopes with Creative designing/theme as approved by AAI.

Mementoes for VIP's (The minimum price shall not be less than Rs. 5000/-, the variation in price of mementoes shall be adjusted on prorate basis.

Providing & placing service tables covered with decorative cloth for distribution of food packets, water bottle etc as directed by Office in charge.

Providing and placing including transportation etc complete for the following safety and security equipment at Auditorium of Jawahar Lal Nehru stadium

Environmental Support Services (Up-keeping) of auditorium (including toilets) including scrubbing and cleaning, Internal / External walls , furniture , metal accessories /surfaces, inside paved area, car parking area, VIP area, etc. complete with labour, materials (including toiletaries, soaps, etc) and machines etc as per requirement and direction of officer-in-Charge (the minimum 10 no. housekeeping staff is to be deputed for upkeping the whole auditorium area). ( Note: The Auditorium (inside and outside) has to be clean pre and post function )
