The tenderer should be a manufacturer who must have manufactured, tested and supplied the equipment (s) similar to the type specified in the ‘Schedule of Requirements’ up to at least xxxx % of the quantity required in any one of the last 3 years. The equipments offered for supply must be of the most recent series models incorporating the latest improvements in design. The models should have been released on or after xxxxx and be in satisfactory operation for xxxxx months as on date of tender opening. Certificates to be provided as per Section XII of Tender Document.
In case of authorized representative/dealer of a manufacturer - The manufacturer furnishes authorization in the prescribed format assuring full guarantee and warranty obligations as per General Conditions of Contract and Special Conditions of Contract. Manufacturers Authorization Form to be provided as per Section XIII of Tender Document.
In case of authorized representative/dealer of a manufacturer - The tenderer, as authorized representative/dealer , has supplied, installed and commissioned satisfactorily at least xxxxx % of the quantity similar to the type specified in the Schedule of Requirements in any one of the last three years which must be in satisfactory operation for at least xxxxx months on the date of tender opening. Certificates to be provided as per Section XII of Tender Document.
The legal status, place of registration and principal place of business of the company or firm or partnership.
Details of experience and past performance of the tenderer on equipment offered and on those of similar nature within the past three/five years2 and details of current contracts in hand and other commitments.
A detailed description of the essential technical and performance characteristics of the goods.
A list giving full particulars, including available sources and current prices, of spare parts, special tools, etc., necessary for the proper and continuing functioning of the goods for a period of two years, following commencement of the use of the goods by the Purchaser.
Submit a certificate from the Government Departments/Government Institutions regarding the satisfactory supply of food items, vegetables and other materials notified in the tender to various Government Departments/Government Institutions during the last 3 years (2022-23, 2023-24 and 2024-25) and the turnover of not less than Rs. 600.00 lakhs from the Government Departments/Government Institutions. (To be submitted in Annexure-04).
Regarding the service experience of the tenderer, the work order and experience certificates obtained from the concerned department regarding the supply of food and other items notified in the tender for not less than Rs. 600/- lakhs in the three financial years from preceding the financial year of tender inviting (2022-23, 2023-24 and 2024-25) should be filled in the prescribed form and submitted. To be submitted in Annexure-03

Submission of application fee and EMD amount through e-portal.
If the agency is a firm, company, partnership or non-governmental organization, it should be registered under the relevant law. Necessary documents should be submitted in this regard. (Not applicable to sole proprietorship firms)
PAN number of the firm, if the firm is a private firm, a copy of the PAN number of the owner should be submitted.
Business license obtained from the Municipal Council/Purasabha/Grama Panchayat regarding the sale of food, vegetables and other items by the organization at the Head Office and Branch Offices. (The certificate valid for the current year should be submitted)
The bidder should submit ISI certificates.
The bidder should submit a notarized certificate stating that the bidder has a local warehouse for the food storage system.
Food Safety and Standards Authority of India (FSSAI) certificate of form C obtained from Government of India, should be currently valid.
The tenderer should have a valid packing license obtained from the Department of Law and Metrology.
The tenderer should submit a certificate of sanction (currently valid) obtained from the APMC.
The tenderer/agency should have its own office locally in Kolar district and should provide complete address, telephone number, e-mail address etc. on letterhead or a covering letter of Rs. 500/- on a stamped paper for opening an office
A notarized certificate on a stamped paper of Rs. 500/- should be submitted in this regard stating that action may be taken to blacklist the organization in case of any discrepancy in supply or if poor quality materials are supplied.
The organization/agency should not be blacklisted and should not be a partner of a blacklisted organization and the owners of the agency should not be elected representatives. A notarized certificate on a stamped paper of Rs. 500/- should be submitted in this regard.
Submission of Bank Solvency Certificate of 30% of the tender amount. (1,09,20,000) from nationalised bank
The bidder should submit the GST Clearance (2022-23, 2023-24 and 2024-25) for the year up to March-2025
To supply food products and other materials to student hostels / residential schools, the tenderer must own at least one vehicle or have a hired/leased vehicle under a valid agreement. It is mandatory for the said vehicle to be fitted with a GPS device. If a hired vehicle is not currently held, an affidavit notarized on a rupees 500/- stamp paper must be submitted within 15 days of receiving the work order, undertaking to procure a vehicle locally for the supply of food products. This affidavit must be obtained on a date subsequent to the date of issuance of the tender notification.

Submission of GST registration certificate of the firm, head and branch offices
The annual turnover certificate for the previous three financial years (2022-23, 2023-24 and 2024-25) of the tender should be submitted by the applicant with a UDIN number and the average annual turnover certificate as per Annexure-4 should be submitted with a UDIN number. It should be Rs. 600.00 lakhs or more.
The bidder should submit the GST returns (2022-23, 2023-24 and 2024-25) for the year up to March-2025.
Submit the professional tax registration certificate and the certificate of payment of professional tax for the years 2022-23, 2023-24 and 2024-25.
The tenderer shall submit the Income Tax Returns (ITRs) of last three financial year ((2022-23, 2023-24 and 2024-25)) preceding the financial year for which the tender is invited.
