COMPREHENSIVE ANNUAL MAINTENANCE CONTRACT FOR VRF AND VRV OF AIR CONDITIONING AT VIP LOUNGE AND VVIP RECEPTORIUM RESPECTIVELY AT AF STATION PALAM DELHI CANTT

Comprehensive annual maintenance of VRF Air Conditioning System at VIP Lounge comprises of following units complete all as specified and directed.

(i) Model- VDV-560(20) WDRN1 with IDU, Cap-20, Total Cap-60 (Qty- 3)

(ii) Model-VDV-560(18) WDRN1 with IDU, Cap-18, Total Cap-54 (Qty- 3)

(iii) Model-VDV-280(10) WDRN1 with IDU, Cap-10, Total Cap-30 (Qty- 3)

Note:-The following repairs are deemed to be included in the rate quoted by the contractor under comprehensive maintenance:- Carrying out quarterly inspection of as a part of Preventive Maintenance (PM) in accordance with relevant PM check lists and as per schedules that will be prepared upon activation of contract. The salient features in these checklist are as follows :

(i) Checking the VRF system and equipment such as compressors, indoor and outdoor fan motors and their electrical controls on the respective equipment.

(ii) Checking the refrigeration system for any leaks and resolving the same.

(iii) Checking the electrical and refrigeration control system for operation and adjustments of set values as necessary.

(iv) Lubrication of all necessary points in the system & its components in line with the checklist.

(v) Cleaning of air filters.

(vi) Inspect and clean control panel of indoor and outdoor units.

(vii) Inspect drain pan for any blockage in the drain opening.

(Viii) Changing of parts (not whole units such as indoor and outdoor unit, control panel, motors and the like) or repairing or re-calibration as may be necessary.

(ix) Carrying out-once in a year, external cleaning (chemical or with plain water) of condenser coils of outdoor unit.

(x) Attending to breakdown calls.

(xi) Parts and consumables will be provided free of charge in normal circumstances.

(xii) Publishing an annual report for improvement, if any.

(xxv) Compressor Oils (Repair/ replacement, if required)

(xxvi) Electrical Panel Feeding to HVAC Equipment only, V cover Contactors, thimbles, Connectors, MCB, and MCCB (Complete replacement, if required)

(xxvii) Repairing of-piping and valves, actuators, electrical panel, modulating valves, modulating motors.

Comprehensive annual maintenance of VRV Air Conditioning System at VVIP Receptorium comprises of following units complete all as specified and directed.

(i) Model-RXYQ18TRY6, RXYQ18TRY6, RXYQ12TRY6, Sl No. 420441962305 (HP-48)

(ii) Model-RXYQ18TRY6, RXYQ18TRY6, RXYQ12TRY6, Sl No. 304942472155 (HP-48)

Note:-The following repairs are deemed to be included in the rate quoted by the contractor under comprehensive maintenance:-

Note :- The terms and conditions shall be followed by the contractor for srl item No-01 & 02 above are as under:-

(b) The tenderer shall have to replace the unserviceable materials with the OEM materials only. Necessary paid vouchers shall be submitted by the OEM for the materials like compressor, PCB cards etc. Contractor is responsible for renewable of license fee. The charges for annual govt inspection are deemed to be included in the quoted rate.

(c) The comprehensive maintenance includes weekly, fortnightly, monthly, quarterly, half yearly inspection/ testing/ preventive maintenance/replacement of unserviceable parts/ material including labour, transportation etc complete.

(d) The complaints shall be attended forthwith on receipt of the complaint/ failure from the time to time . The contractor shall deploy sufficient AC mechanic and helper. Rate quoted shall deemed to be inclusive of T&P required to carry out repairs stationery for upkeep of records, uniform to mechanic and helper etc. The contractor shall maintain the attendance register of personnels deployed for the work and the same shall be put upto the Engineer-in-Charge /GE as and when asked.

(e) The contractor shall obtain signature of Authorised Representative of GE as token of satisfactory rectification of defects. Any minor complaints requiring no spare parts shall be rectified within one hour and if requiring minor parts, shall be rectified within two hours. Any major complaints requiring major parts/ repair shall be rectified within 24 hrs. In case delay in rectification of minor complaints, a penal recovery @ Rs. 100.00 per hour shall be imposed upon the contractor and in case of delay in major repair of the AC plants for more than 24 hrs and upto 10 (Ten) days, penalty on the contractor for a sum of Rs.2000.00 per AC plant per day or part thereof and Rs.4000.00 per AC plant per day or part thereof after 10 (ten) days shall be imposed. The decision of the GE as to particular repair is minor/ major and a particular AC plant has been maintained or not on a particular day, will be final and binding. The above penalty shall be in addition to the provision made in Clause 50 of IAFW-2249. In the event of burning of motor, a time of 7 days shall be allowed to the contractor for rectification of fault. After that period, penal recovery at the rate of Rs. 2000.00 per day shall be imposed on the contractor.

(f) A complaint register will be maintained by the contractor and the contractor will obtain the complaint from JE/ AGE E/M office on every working day at 0800 hrs or will be informed telephonically by the Deptt at any time.Two mobile Nos and two email IDs to be maintained by the contractor to communicate the complaints.After attending the complaints the contractor will obtain the signature from the Authorised representative of GE every day as token of complaints attended.

(g) The comprehensive maintenance of AC of M/S VOLTAS & DAIKIN at VIP Lounge and VVIP receptorium to be carried out under ser item no 1 & 2 above. The work will be carried out under Authorised dealer for comprehensive maintenance of AC plant complete all as specified and directed.

(h) AC mechanic deployed at work shall be experienced in AC plant repairs and maintenance and fully equipped with required T&P.

(j) Contractor shall submit police verification certificates of personnels employed before commencement of work.

(k) Contractor shall carry out daily, weekly, fortnightly, monthly, quarterly, half yearly inspection and report of the same shall be submitted to the Engineer-in-Charge.

(l) Contractor shall provide the uniform to the personnels employed without any extra cost to the Deptt and cost of the same shall deemed to be included in the rate quoted and for non wearing of uniform by the personnel employed by the contractor a penalty of Rs. 500.00 shall be levied per person per shift.

(m) The contractor shall ensure proper functioning of all safety devices.

(n) The contractor shall stick/ paste safety instructions at inside the cabins of all AC plants with the contact number of operator/ mechanic as directed.
