SCOPE OF WORK AND TERMS & CONDITION:-
A) Routine checking and servicing (Preventive maintenance). The rate are inclusive of all taxes. i) Checking & servicing of all mechanical & electrical parts of the Split/Window/Package/Tower A.C.Machine, refrigerant system, condenser & cooling system etc. twice in each month. ii) Checking of performance of each machine, Load Current (Amp) , CFM, grill temperature¸ room temperature etc. twice in a month & these shall be noted, in Log Book. All entries be countersigned by the Agency and the concerned Junior Engineer in the Log Book. iii) In every three months, the Outdoor unit should be thoroughly cleaned and washed by vacuum cleaner and jet spray. iv) All machine shall be numbered according to their location, made and as per direction of E.I.C & Log book be maintained accordingly. v) Cleaning of filters twice in each month. vi) Lubricating the bearing of the motor & fan as and when required vii) Checking the electrical incomer upto incoming M.C.B incl. starter, switches etc. in each month. Any fault located should be brought to the notice of the Asstt. Engineer & Junior Engineer immediately. viii) Checking & repairing of all parts which have not been specified but necessary to keep the machine satisfactory running condition. ix) Agency must be provide a trained attender for operation of ductable type AC machine. x) If any fire hazard occurred due to poor maintenance of the Split/Window/Package/Tower Air Conditioning machine, the liability will goes to solely on the concerned maintenance agency.
B) Overhauling: i) Through overhauling of the machine part by part once in a year. ii) Cleaning & painting of the machine body, base tray etc. once in a year. iii) Cleaning & discalling of condenser unit, cooling coil etc. and gas leak test once & when required in a year. iv) Overhauling shall preferably be done during winter season and must be noted in the Log Book.
C) Supply & Repairing: This comprehensive contract covers preventive & corrective maintenance of A.C. machine/ spare parts as required so as to keep the A.C. machine operative/ functioning round the clock and for ensuring uninterrupted & trouble - free performance of the equipment. i) Replenishing refrigerant required as a result of a leak in system arising out of fair wear & tear as per requirement. ii) Supply of refrigerant shall be made as & when required by the Agency in his own cost for all AC Machine.. iii) Repair of microprocessor controls & to be replaced free of cost for all AC Machine. iv) Replacement capacitor (P2 type) incl. of all spare parts, including compressors (Except Ductable Split type AC machine), shall be made by the Agency for smooth running of the machine at his cost for all AC Machine. v) Filters be changed except nylon filter once in a year & the new once shall be approved by the EIC. vi) Replace/ repair of all spare parts of ductable split type (Like- Refrigerent, blower motor, remote sensing unit, controler, ducting, damper unit, all kind of valve, communication card, contactor and other electrical accerise etc) are to be made agency own cost. vii) No major parts shall be removed without permission of concerned Asstt. Engineer. Challan shall be obtained from Junior Engineer while taking away machine or parts from site for repairing and materials shall be returned/ repaireed within three days to worksite in Co’s challan.
D) Attendance of break down: i) Break downs to be attended by experienced AC machines immediately after receiving initiation from the Junior Engineer, Asstt. Engineer and the authority concerned. ii) AC machine must be provided with cell phone with contact no. iii) Nature of break down with date shall be recorded in the Log Book.
E) TERMS & CONDITION. i) All payments shall be made as per Govt. rules. ii) Agency may raise bills for quarterly payment. He shall submit service challan and Monthly Log Sheet (Format given by department) duly filled & countersigned by the Junior Engineer,& Asstt. Engineer mentioning therein the performance of the machine with grill temperature, room temperature at the time of servicing along with the log book duly signed by the JE & AE concerned. iii) No extra payment shall be made for repairing & replacement of machine parts or refrigerant. iv) The Log Book shall be kept upto-date & ready at Junior Engineer Chamber for verification by higher authority at any time & to be produced whenever demanded by the EIC for verification. v) The Executive Engineer reserves the right to terminate the contract at any time with one month notices. vi) If the Agency fails to make a break down machine operational with in 24 Hrs. or fails to provide replacement of the machine from his own working machine (loan machine), deduction from the bill will be made @`20/- for each day for split/ window machine @ 200/- for each day for ductable type/tower AC machine in excess of 24 Hrs.
