LED Wall - 12' x 8' for Audience of stage - 3 mm Pixel on the raised platform & branding

Designing, providing and placing Flex Standee with Iron Frame 4'x 8' with required lighting

Console set up with platform & masking for Video, LED, Light & Sound etc.

Videographers with HD cameras (1080 format) positioned in different places at the venue

Designing, providing and placing Live editing table, Splitter, Matrix Switcher, RC Cables, sound system etc. (as per audio-visual requirements)

1 Photographer with HD camera for still photography

Ushers (female) shall be available (05:00 PM to 10:30 PM)

Green Room set up ( of size 15ftx10ft aprox) for Artist performing in cultral program having facility of table, chair, Big mirror with light, carpet etc as per requirement and direction of OIC.

Theme-Entrance 3D Gates with Digitally printed branding backlit on Acrylic or Polycarbonate sheet (as per width and height required for gate in AAIOI ) as per design approved by AAI . Theme based Entrance Paths and pre-function area with thematic props. 3D Effects with intelligent adequate lighting for Entrance including floral work with rangoli at functional area

Setup of Dias Table with VVIP Chairs , branding & podium with sunboard branding at AAIOI or JLN stadium having table top flower bunch atleast 10 Nos as per direction of office in charge.

Providing and fixing high density aluminum bar based Professional box truss based multi-color craft stage lighting, Laser lights, avolite, follow spot, profile lights, projection/stage element with pearl 2010 lighting mixing board with engineer etc or as per requirement for cultural event for 2 days i.e. for rehersal and program i.e. for 30-03-2020 and 31-03-2020. (The size of truss should be as per requirement of stage and artist)

Providing and placing Professional Line array acoustic system mounted in line DNB/RCF/JBL with bose pan array system, top & subwoofer speaker, stage delay monitor & Yamaha M7CL digital mixer & sound engineer as per technical requirement of Artist – for 2 days i.e. for rehersal and program i.e. for 30-03-2020 and 31-03-2020

Providing and placing Guest photo on booth / Selfie Stand with themed set up size 10' x 6' at the suitable location including all necessary lights/cables/equipment etc.

a) Theme-Entrance 3D Gates with Digitally printed branding backlit on Acrylic or Polycarbonate sheet (36'x15' (aprox or as required for CFT) at Jawahar Lal Nehru Main Gate and 28'x15'(aprox) at VIP Gate) as per design approved by AAI . Theme based Entrance Paths and pre-function area with thematic props, red carpet 3D Effects with intelligent adequate lighting for the Entrances. Flower work with rangoli for VIP gate and other Entrance.

b) Stage - 4 layered with complete Border Lighting: 3 Nos. High Definition LED walls (for running graphics and live feed) 40'x 14' - 1 No. 14'x 8' -2 nos (the size and no. of LED may vary as per the setup but area should remain same). side wings (for running graphics, 3D logos animation and live feed), with Black background LED panel with 3mm Pixel Pitch or better resolution, inclusive of supports, stand, masking with LED/cloth with branding etc., inclusive of required hardware, software and graphics designing of slides for Event & Presentation AV. Special Effects theme based graphics for LED screen; Stage special theme & 3D effects-parachute cloth, POPs any other for glitter effect, wood and iron for Back drop, side wings and LED platform of ht 6 ft with Digital branding backlit on Acrylic or Polycarbonate sheet as per design approved by AAI (Total Backdrop Height 20'- 22'); Theme lighting; Special Pyrotechnic - theme based; Raised platform for Band approx 36'x8' or as per the requirement of artist. Theme is to be decided by AAI (Note : The existing size of stage 33'x26' in front. The existing stage is to be increased 70' in width or as required for the performance. The top surface of existing and extension portion of stage should be levelled with premium quality carpet or as required material for dance etc in order to have undulation free floor and suitable for dance group/artist. The front portion of stage should be decorated with cloth and floral work of high quality of different species of flowers. The extended portion of stage will be paid separately in item 18 (C)).

c) Providing and fixing Laser/ Scaffolding Stage on either side of existing stage with provision to access having adequate load capacity for performance, band, dance group etc with premium quality carpet or as required material as approved by Officer-in-charge for dance etc in order to have undulation free floor and suitable for dance group/artist. The height should match the existing platform and the front dimension likely to be 70' or as per requirement of show stage performances. The extended area will be measured for payment. The extended front area should be decorated with cloth and fresh flower. (The extended stage area shall be measured for payment).

Welcome Gate and Theme

a) Welcome gate for VIP in auditorium as per requirement with floral work at gate and railing to the main auditorium VIP gate. The planter with good quality of plants is to be kept on both side of walkway . One no. Rangoli with decoration of flowers has to be made at entry gate.

b) Red carpet welcome at VIP gate and prefunctional gates.

c) Guest photo on booth/Selfie stand with themed set up size 12' x 10' with one still camera & two ushers at the entrance / foyer with a provision including all necessary lights/cables/equipment etc.

d) Designing, providing and placing Welcome Standee & Signage (As per theme decided by AAI) size

e) Designing, providing and placingFlex Standee with Iron Frame 6'x 8' with required lighting

(Note : The green room available in stadium is not having any facilities and furnitures. Hence agency has to provide all necessary facilities and furnitures in addition to above if required for the artist / singer / V.VIP. Nothing will be paid extra in this account.)

Light & Sound as per requirement of the artist including special theme effects on stage. Studio lighting on props and all over venue, theatre lighting on stage and special Dolby surround sound effect as detailed along with light & sound engineers(Minimum but not limited to scope detailed at SOW)

Backstage arrangement for artists & team - with refreshments / snacks/ water bottles .

NOCs & permissions as per requirement of auditorium & performers - Police NOC, Fire NOC, Traffic NOC, PWD NOC, ET NOC, Entertainment Tax NOC, PPL, IPRS, NOVEX , NDMC,MCD,NOC for international performers etc.

Invitation Cards (As per theme decided by AAI) a) Creative designing of invitation cards of approx. 5"x 7" including envelopes( printing to be done by AAI)

Providing and placing Queue Managers for arrangements of line in prefunctional area and as required for the functional area.

Mementoes for VIP's (The minimum price shall not be less than Rs. 5000/-, the variation in price of mementoes shall be adjusted on prorate basis.

Environmental Support Services (Up-keeping) of auditorium (including toilets) including scrubbing and cleaning, Internal / External walls , furniture , metal accessories /surfaces, inside paved area, car parking area, VIP area, etc. complete with labour, materials (including toiletaries, soaps, etc) and machines etc as per requirement and direction of officer-in-Charge (the minimum 10 no. housekeeping staff is to be deputed for upkeping the whole auditorium area).( Note: The Auditorium (inside and outside) has to be clean pre and post function).
