JOB WORK FOR ANNUAL MAINTENANCE CONTRACT (AMC) FOR IT EQUIPMENTS AND PERIPHERALS HELD IN AGE (I) AGRANI COIMBATORE

To carry out Annual Maintenance Contract (AMC) for maintenance and repair of IT equipments and peripherals of AGE(I) Agrani, Redfield Post, Coimbatore as per details given below from Sl No 1.01 to 1.06 (Total 1 Job) :-

Providing Annual Maintenance for Desktop Computers held with AGE(I) Agrani, covering one time replacement of all the parts of computers excluding consumable, burned and physical damages within 3 months from the date of acceptance of Annual Maintenance Contract - 4 Nos

Providing Annual Maintenance for Photocopier Machine (Make : Canon) held with AGE(I) Agrani, covering one time replacement of all the parts of Photocopier machine excluding consumable, burned and physical damages within 3 months from the date of acceptance of Annual Maintenance Contract - 1 No

Providing Annual Maintenance for Printer (HP Laserjet all-in-one) held with AGE(I) Agrani, covering one time replacement of all the parts of Printer excluding consumable, burned and physical damages within 3 months from the date of acceptance of Annual Maintenance Contract - 1 No

Providing Annual Maintenance for Printer (Samsung ML -2240) held with AGE(I) Agrani, covering one time replacement of all the parts of Printers excluding consumable, burned and physical damages within 3 months from the date of acceptance of Annual Maintenance Contract - 1 No

Providing Annual Maintenance for Colour Monitor (Samsung) held with AGE(I) Agrani, covering replacement /repair of all the parts of monitor excluding consumable, burned and physical damages within 3 months from the date of acceptance of Annual Maintenance Contract - 1 No

Providing Annual Maintenance for Internet Modem held with AGE(I) Agrani, covering replacement /repair of all the parts of modem excluding consumable, burned and physical damages within 3 months from the date of acceptance of Annual Maintenance Contract - 2 Nos

Notes for all items (1.00 to 1.06 above) (a) Defects will be reported by user/section in-charge on telephone to the contractor or at the firms office. (b) A defect registration number with date must be given to the user/section in-charge. This defects registration number for the office is to be meticulously maintained by the firm in a separate register and produced monthly to the office authorised representative for validation and signature. (c) The service engineer appointed by the contractor must make necessary entry in the register with date and obtain signature by the section in-charge after attending the call defect rectification within a day. (d) For maintenance of PCs including cleaning of exterior PCs keyboard, mouse Pad, Moniter, CD Writer/ROM, Printer and all other accessories will be carried out once in every month, good quality cleaning liquids shall be used for such purpose.

(e) Monthly checking for viruses and keeping PCs virus free with latest updated antivirus software weekly once (f) Every month the contractor should carry out defragmentation deletion of temporary and other unnecessary back up files etc in consultation and keep system resources at optimum condition (g) Maintenance will be carried out in normal office working hours every working day i.e from 0900 hrs to 1700 hrs in case defect is major and cannot be repaired in a single day at the working place firm can take the same to their workshop by providing alternative replacement so that the office does not suffer. All the cost charges and expenses in respect of transporting or part therefore shall be firms responsibility as the same is deemend to be included in the AMC. Hard disks drivers are not to be sent to the vendors site for repairs. (h) If the equipment is not repired within one working day, a serviceable and reliable PC/Monitor/Laptop/UPS etc as the case may be of equivalent configuration is to be given by the firm to the user for continuing the work. The original equipment is to be repaired and brought back within seven days of the replacement. In case the firms fails to provide the repalcement within one day or fails to repair equipment within seven days the department will be at liability to get the system repaired through an alternate source and debit double the charges from the consolidate AMC charges payable. This office shall entertain no correspondence or counter claim in this regard.

Notes for all items (1.00 to 1.06 above) Contd...... (j) The defective hard disk are not be taken by the contractor for repair. The engineers in the AMC repair cell may attempt to repair HDDs. Hard disk, once declared non-repairable to be opened and its multiple magnetic platters removed and handed over to the user/in-charge for destruction. (k) The duration of the contract will be for ONE YEAR commencing from the date of signing of contract. (l) Maintenance charges will commence from the date of acceptance of AMC and shall be effective for the period of contract. (m)The contractor can take payments as per details given below on production of bill along with certificate obtained from the Asst Admin officer of this office:- (i) After expiry of 3 months (on completion of replacement of all the parts of IT equipment and peripherals as mentioned above) - 40% of the total amount of the contract (ii) After expiry of 6 months - 25% of the total amount of the contract (iii) After expiry of 9 months - 25% of the total amount of the contract (iv) After expiry of 12 months (on completion of the contract) - Balance 10% of the total amount of the contract (n) The miantenance cost will remain constant till the period of the AMC.
