Conference / Discussion Microphone System for Meeting Room 1. Scope of Work Supply, installation, testing, and commissioning of a complete Conference / Discussion Microphone System suitable for use in a meeting room accommodating approximately 50 participants. The system shall enable clear, hands-free, two-way audio communication between participants and integration with the existing or new audio/video conferencing system.

3. Technical Specifications A. Central Control Unit (CCU) The CCU shall: 1. Support a minimum of 50 delegate/chairman units, expandable to at least 150 units using extension units. 2. Provide audio mixing, power supply, and control to all connected microphones. 3. Have built-in feedback suppression and automatic mic cutoff to minimize echo. 4. Include controls for limiting number of active microphones (1–4 simultaneously). 5. Feature recording output (RCA or USB) and audio output for external amplifier/public address or video conferencing system. 6. Include RS-232 / USB / Ethernet interface for integration with external control systems (optional). 7. Power requirement: 220–240 V AC, 50 Hz. 8. B. Chairman Unit 1. Shall be identical to delegate units but with priority override switch to mute all delegate microphones. 2. Shall have flexible gooseneck condenser microphone with LED indication for mic ON/OFF status. 3. Built-in high-quality loudspeaker, which shall be muted automatically when microphone is active. 4. Provide dual 3.5 mm headphone jacks for private listening. 5. Supplied with a minimum 2 m interconnection cable with locking connector. 6. Frequency response: 125 Hz–15 kHz (or better). 7. C. Delegate Units 1. Each delegate unit shall have: o A high-quality gooseneck condenser microphone with LED ring indicator. o Push-to-talk / request-to-speak button. o Built-in loudspeaker, automatically muted when mic is active. o Headphone output (3.5 mm jack) with individual volume control. 2. Unit housing: durable ABS or metal base; non-slip base pads. 3. Frequency response: 125 Hz – 15 kHz or better. 4. S/N ratio: > 80 dB. 5. Power consumption per unit: not exceeding 1.5 W. 6. D. Cables and Accessories 1. Interconnection cables shall be shielded type, terminated with locking connectors (DIN/RJ45/CAT6) as per system design. 2. All cables and connectors shall be factory-terminated and tested for reliability. 3. Vendor to provide complete layout diagram and as-built documentation.

E. Installation & Commissioning 1. The supplier shall carry out complete installation, cabling, configuration, and testing. 2. Demonstration of system functionality and training to users is mandatory. 3. Warranty: Minimum 3 years comprehensive onsite. 4. Vendor must provide authorized OEM certificate for quoted make and model.

5. Performance Requirements • The system shall deliver clear, distortion-free voice with a minimum signal-to-noise ratio of 80 dB. • System shall be free from RF/GSM interference. • Should allow chairman override and auto-mic off. • Shall integrate easily with video conferencing (Zoom/Teams) through line-level outputs.

6. Compliance & Documentation • The bidder must submit OEM datasheets, system design layout, and compliance statement with each tender. • OEM or Authorized Distributor Certificate must be attached. • The system must comply with IEC 60914 (Conference System Standard).

Scope of Work Supply, installation, testing, and commissioning of wall-mounted, two-way, full-range loudspeakers suitable for clear voice reproduction in a conference/meeting room environment. Speakers shall be connected to the conference microphone system and central amplifier to ensure uniform sound coverage throughout the room.

3. Functional Requirements 1. The speaker system shall provide uniform sound coverage across the meeting area without distortion or echo. 2. The speaker enclosure shall be aesthetically designed and suitable for indoor wall installation in meeting/conference rooms. 3. The contractor shall provide all necessary labor, materials, cables, connectors, tools, accessories, and consumables required to complete the system setup in all respects. General Requirements 1. Installation shall be carried out by trained and authorized personnel of the OEM or their certified system integrator. 2. The site shall be inspected before installation to finalize equipment layout, cable routing, and mounting points. 3. All cabling shall be neatly concealed, labelled, and terminated using professional-grade connectors. 4. Vendor shall ensure aesthetically clean and safe wiring — no visible or loose cables permitted. 5. All electrical terminations shall be done through proper sockets, MCBs, and connectors. 6. Post-installation, the vendor shall ensure that all systems are fully functional and integrated for audio, video, and data communication.
