Domestic Road Show (Per Roadshow) Suggested Cities: Delhi, Chennai (Delegates logistics including 5 Star Hotel Room, Sedan Taxi, SUV Taxi, ,, Breakfast, Lunch, Dinner (8 GoR+2 CII for 3 road shows)) + Arrangement of Banquet at 5 Star Hotel Venue, Dias Arrangement, LED Backdrop, LED Panels, Help Desk, Room for One to One Meeting, Lunch for 350 participants, arrangement for display of film, presentations, standees at the venue, speaker arrangement and other logistic arrangement for organizing the Roadshow.
International Road Show (Per Roadshow) Suggested Countries: Japan, South korea, Singapore (Delegates logistics including 5 Star Hotel Room, Sedan Taxi, SUV Taxi, , Breakfast, Lunch, Dinner (10 GoR+2 CII for 3 road shows)) + Arrangement of Banquet at 5 Star Hotel Venue, Dias Arrangement, LED Backdrop, LED Panels, Help Desk, Room for One to One Meeting, Lunch for 250 participants, arrangement for display of film, presentations, standees at the venue, speaker arrangement and other logistic arrangement for organizing the Roadshow.
Arrangements for holding 4 Departmental Pre-Summits before the summit (Energy, IT, Industries/RIICO, UDH) These may be related to subjects energy, Information technology, industries, Urban development etc. One day event. Arrangements including venue, High-Tea for approx. 300 persons.
Other Events such as Website launch etc.: Venue booking, LED, Panels/LFDs, Lunch/High-Tea for approx. 150 persons.
Logistics & Event Arrangements for the 3 day Summit Cost of Venue Booking, Infrastructure/Event Logistics Arrangements, Venue Development, Support Services, Decorative plants, Mementos, Manpower & Audio Visuals for entire venue, arrangements for the Inaugural, Valedictory, Seminars & Special Sessions, and arrangement of Halls during the summit, Arrangement of Computer system and printers as per requirement.
Catering Charges Arrangement of: Three Dinner for approx. 1500 persons at 5 Star hotels or similar arrangement at any renowned palace/ garden etc.
Catering Charges Arrangement of:Three Lunches for 5000 persons (Separate Lunch for VVIPs, VIPs) also lunch for delegates and lunch/food parcels for organizers and security and helping staff at the summit venue
Catering Charges Arrangement of: Running Tea/Coffee & Water during the main event Hi-Tea at venue for delegates for 3 days
Speaker / Foreign Guest Coordination/other Dignitaries Arrangement of Travel, Accommodation, Food & Local Transport of speakers and government functionaries and CII officials for pre and during Summit etc.
Three Cultural Event with artist of national repute
Printing Charges Printing of common promotional material for the event and roadshows (Brochure, Flyer, Program)
Stationery, Postage and Courier Charges Folder for signing of MOUs having GoR Emblem Embossed (2000 quantities)
Stationery, Postage and Courier Charges Clip-on Pendrive (8 GB) with the branding of the summit on it (1000 quantities)
Stationery, Postage and Courier Charges Doc packs and other stationery that includes entry passes/Vehicle Pass/Parking Pass, badges, food/beverage coupons etc. for the main event
Electricity & Other Charges Electricity Charges and UPS backup during the main event
Internet and WiFi Charges High-speed internet services at JECC, IT and telecom enabled services and mobile application and creation of Wifi zone for delegates and senior Government officials during the main event
Security & Services, Hiring of tents and other equipment For Security, Medical Staff, Registration Counters and Help Desk at various places during the main event.
Transportation Cost Pre and During Summit Including hiring of Taxi (10% of the delegates attending the conference), coaches, for commuting delegates from airport to venue / hotel / other locations
Cost of Insurance for the Summit (cover legal liabilities on account of destruction of or damage to property of the participants and all legal public liabilities incurred by the organizers on account of any incident including but not restricted to injury to or death of any person(s) entering the fair premises legitimately during the period. Policy towards following contingencies should be part of project/Event cost: 1) Towards Public Liability (based on footfall). 2) Policy towards Infrastructure damage/Fire/Roits. 3) Natural calamities etc.)
