engage the services of an Agency for venue arrangements, arranging AC / Non AC Hanger and allied activities for Machinery Expo 2024

Providing infrastructure facilities for Kerala Machinery Expo 2024.

Hire and labour charge for Providing AC Exhibition pavilion (For Large Machinery Stalls & Additional Stalls of 3x3) with Germen structure constructed with Aluminium Alloy pipes and silpolin side covering, fitted with suitable sheet and adequate lighting as per direction of the committee and dismantling and removing from the site. Rate including DG set and fuel cost for running AC and light. The pavilion should be ready to allot on 08/02/2024 at 08:00 PM onwards with basic lighting. During Exhibition days, AC should be started functioning one hour prior to the stall opening time.

Hire and labour charge for Providing NON AC pavilion with Germen structure constructed with Aluminium Alloy pipes and silpolin side covering, fitted with suitable sheet and adequate lighting for inauguration and seminar hall with 400 seats as per direction of the committee and dismantling and removing from the site. Ceiling Fan required in the hall should be minimum 25 numbers. Rate including DG set and fuel cost for items fitted on stage and Hall, like Fan, Cooler, light, sound systems etc..

Hire and labour charge for setting up food court at the ground floor of the proposed convention centre with adequate lighting as per direction of the committee and dismantling and removing from the site. Floor mat/ synthetic carpet of 4000 sqft to be provided. Covering the side area of the food court should be done with cloth for separation. Tables with cover (Round Table 35nos, Steel Table 35Nos.) and armless chairs (250Nos.), Hand wash area with 12 tap with continuous water supply and adequate light. Pedestal Fan required is 25nos. Rate including DG set and fuel cost for running Fans and adequate light.

Hire and labour charges for providing and spreading the Synthetic Carpet for the Exhibition area of 6 Domes and removing from the site.

Hire and labour charges for putting up a raised platform (Exhibition Pavilion for heavy machinery and additional stalls, inauguration cum seminar venue to provide ramp at entrance & exit) of 0.15m height of size 50mm dia GI pipe post at 75 cm C/c on both ways tying 50mm dia GI pipe tie on both directions at top and bottom to line and level and 16mm thick ply wood top platform fixing with nut and bolts with synthetic carpet etc complete as per the directions (including dismantling and removing from site) – Extra support should be provided to carry the heavy machinery area and if required additional floor panel should be provided.. Damage cost for the raised platform will not be admitted in case of any damage to them.

Hiring and erection of fabricated stall of 3 x 3 m ( For machinery)- (104 inside domes + 20 outside, along with heavy machinery area) with prefab powder coated octanorm system along with aluminium section(powder coated) white laminated sheet including Facia with name of units (List will be provided), Octanorm system table- 1No ( 4 ft x2.5 ft), Chair -2Nos, Light -2nos, power plug– 1No, 3 phase power facility-1No (minimum 5HP, If required additional, additional power line should be arranged) with proper electrical wiring, Waste Bin 1no etc including dismantling and removing from site. If needed, additional stalls to be provided at a rate on the pro-rata basis

Hiring and erection fabricated stall of 3 x 4 m ( For machinery)with prefab powder coated octanorm system along with aluminium section (powder coated) white laminated sheet including Facia with name (List will be provided), Octanorm system table- 1No ( 4 ft x2.5 ft),Chair -2Nos, Light -2nos, with proper wiring, power plug – 2 nos., 3 phase power facility-1No (minimum 5HP, If required additional, additional power line should be arranged) with proper electrical wiring, Waste Bin – 1no., etc including dismantling and removing from site

Hiring and Erection of Facia on wall with name (List will be provided), Octanorm system table- 1No ( 4 ft x2.5 ft),Chair -2Nos,Light -2nos, with proper wiring, power plug – 2 nos., 3 phase power facility-1No (minimum 5HP, If required additional, additional power line should be arranged) with proper electrical wiring, Waste Bin – 1no., etc including dismantling and removing from site – This is for the rooms in Dome A and H (24 nos) and rooms in B &G (6 nos)

Hiring and erection and setting up medical room with white laminated sheet at four sides and covered with door at passage front, including Facia with name : “Medical Room”, Single cot with bed – 1 nos., Table 1, Chair -4, power plug – 2 nos., Waste Bin – 1 no. Door etc including dismantling and removing from site,

Hiring and erection of fabricated stall for providing “Office and Reception cum registration area” of 20m x 2m (approximately 10 stalls of 2mx2m )with prefab powder coated octanorm system along with aluminium section(powder coated) white laminated sheet including Facia with name, table- 10 Nos ( 4 ft x2.5 ft), Chair - 20Nos, Spot Light -20 nos, power plug – 15 nos., Waste Bin – 5 no. Safe Locker 1 No. Pedestal FAN – 6nos including dismantling and removing from site

Hiring and erection of fabricated stall with prefab powder coated octanorm system along with aluminium section (powder coated) white laminated sheet (four side covered with door at passage front, including Facia with name : “VIP Launch ( approx. 30 sqm )”, Sofa 3 Seat with cover – 2 nos., Single Sofa with cover – 2 nos, Teapoy – 1 No, LED TV with live telecasting of the event, glass tumblers with lid 6 nos, tray 1 no., Light -4nos, power plug – 3 nos., Waste Bin – 1 no., door etc , Tower A/C to be installed with to keep room temp below 24 deg C. The rate including the fuel cost for the generator for the AC and Light. Also including dismantling and removing from site

Providing theme based fully covered Design Wall (100ft length 3ft width and 30ft height) for Exhibition area with 260sqft p6 outdoor LED video wall for 5 days with design approved by the committee (The design should be submitted for approval)

Providing theme based Design wall for a Span of 20m length x 3m height with box type 2m Entrance (1No), 2m Exit(1No) ,as per the design approved by the committee, in front of Heavy Machinery Stall. (The design should be submitted for approval)

Providing Box type Design Arch (3 Ft x 3Ft square) at main gate with 7 meter height, 8 meter passage. (Design approved by Committee).

Box type Round (Half) Arch at the side of the Infopark Express Way – 6 days

Providing theme based side wall at road side of Entrance of Info park Express way from Seaport – Airport Road. 4m Height and 20 m Length. Necessary approval should be collected from the concerned agency. Support should be provided to hold it straight. Prior approval for the Theme should be obtained from the committee. This wall shall be fixed 5 days in advance of the Exhibition and Proper disposal after the Exhibition.

Providing Design entrance with back light with 4m entrance with total length 15m and 5m height and 160 sqft p6 outdoor LED video wall. (Design approved by Committee)- 5 Days

Providing and erecting coloured flags (5ftx3ft) with logo, fitted on iron pipes having 5m height in attractive cloth at the entrance gate and at other places as directed by committee.

Supplying and Erection of temporary stage 1000 Sqft and green room-2 Nos. and covering with synthetic carpet in the pavilion with flower decoration on inauguration day, including dismantling and removing form site. 4 tower A/C of 2T each to be provided at Stage Adequate Lighting to be provided to the stage. Pedestal Fan -6nos Rate including DG set and fuel cost for running Tower A/Cs and adequate light.

Hire and labour for providing theme based digital podium including cost for removing from site - for 4 days

Hire and labour charges for cushioned VIP chair 20 nos with seat cover and 3 teapoy - for 4 days. And removing from site after exhibition.

Hiring and providing of Stage lighting for inauguration, closing ceremony and cultural program with 1024 channel DMX mixer, Sharppie 12 Nos., LED Parlight 20 Nos.(RGB) with all necessary items for smooth functioning of programme. Including dismantling and removing form site

Hiring and providing sound system with settings 48 channel mixing Unit (20000 W for stage) with all necessary items for smooth functioning of programme. Including dismantling and removing form site

Hire and labour charges for spreading plastic arm chair with cover in the inauguration venue

Hiring and providing adequate PA sound system with settings for the announcement from the registration area, should be audible at all locations including machinery stalls (8 Domes), Registration Counter, Heavy machinery area, food court , Seminar Hall etc. 10000 W with all necessary items for smooth functioning of programme. Rate including dismantling and removing form site

Hire and labour for providing drinking water (20ltr filled jar 45nos/day) with 15 dispenser unit and cup.- for 5 days

Supplying and fixing Pagoda white tent (Arabian Tent) (20x20ft) for setting up snacks counter, including dismantling and removing from site as per requirements. With Basic Lights and 6 power plugs. Rate includes the power charges.

Hire and labour for providing Visitors counting equipment to be provided at the entrance with display of count during exhibition time, and dismantling from the site.

Hire and labour for providing Metal Detector and removing from the site after Exhibition.

Hire and labour for providing Queue Manager and removing from the site after Exhibition.

Hire and labour providing 2000 ltr storage tank with water and 5 tap connection with connecting pipe/hose and continuous supply of drinking water along with drainage system at the site.

Arranging continues security services of 10 persons /shift required from 08/02/2024, 8:00 PM to 14/02/2024, 12 noon)

Cost for engaging labour (10 persons /day) for cleaning stalls and premises of exhibition, food court, seminar halls and other places used for exhibition purpose. (From 09/02/2024 to 14/02/2024 )

Providing and fixing Rollup Standees (design approved by Committee) size 5 x 2.5 feet including cost of dismantling and removing.

Providing CCTV surveillance (40 Cameras and 4 LED TV monitor) in the location specified by committee of the entire proceedings inside for 5 days with facility to store the proceedings and provide in external hard disk of the entire proceedings.

Providing LED wall (30 ft x 10ft ) (p3.91 LED Wall Indoor) with high density video graphic camera and mixing unit for projecting signals to the LED wall and with live telecasting on Youtube and Facebook and dedicated internet connection.

Hire and labour for providing natural flower bed on stage, ‘Nilavilakku’ minimum 4 feet height, ‘Kodivilakku’, ‘thiri’, oil, ‘Karpooram’, coconut flower, ‘Para’ with rice grains, ‘karikku’ 30nos, etc, for inauguration day.

Arranging all necessary permission and inspection from Government departments such as PWD, Police, Fire and rescue Department, Electrical Inspectorate, Corporation, Suchithwa Mission and relevant departments including fees and other expenses.

Hire and labour charges for putting up LED Flood Outdoor Light in conduit wiring.

Hire and Labour charges for putting up illumination light (‘Mala’ of 100 bulbs) in conduit wiring.

Hire and Labour charges for putting up illumination light (200W rainbow Colour LED Flood Outdoor light) in conduit wiring.

Hire and labour charges for Generator with diesel For illumination, light (In and Outside of Exhibition hall) all other power requirement (except as specified in item 1.45 and 1.55) , sound systems, stage requirements etc.. in sound proof vehicle including transportation cost, diesel and operator etc- complete – Average use 11Hrs(10 A. M to 9 P.M) for 5 day. Additional 8 hours After closing of Exhibition for loading the machineries.

Air Curtain- 4Ft at each dome of the Machinery exhibition stalls

Hire and labour charges for Generator with diesel for providing 3Ph power to the exhibitors for live demonstration in sound proof vehicle including fixing Cabling and DB settings, transportation cost of diesel and operator charge etc. Average use 10 Hrs(10am -8pm) – Expected power requirement-650KW– (requirement mentioned in item no. 1.01, 1.06 to 1.08, For 5 days. (8 hours on 09/02/2024)

Videography and photography of entire programs in HD format as per direction of the committee.

Forklift 2Nos, crane 2 no., pallet trolley 4nos with loading and unloading Labours for 4 days (from 08/02/2024 8:00PM to 10/02/2024(Noon), 13/02/2024 5pm to 14/02/2024 5pm

Fire extinguisher in Pavilion, Seminar Hall, and food court as per fire and safety standards

Arranging 16 member Shingarimelam and one comparer person (female) on inaugural day

Hire and labour for setting and placing Round arch in important locations of Ernakulum city and along Highway with arranging necessary clearance from related Departments (Flex not allowed)

Insurance coverage (for mishaps, if any, happening at the venue of the event) provided for all participants, officials and visitors, machinery & equipments of the Exhibition during the event days.

Providing all sign boards including direction, toilet, food court, entry, exit, Health Protocols, Parking etc… and board showing list of all Exhibitors.

Hire and Labour Charge for Providing Metal Barricading for the exhibition area including Removing and dismantling from the site.

Hire and labour charges for Generator with diesel for adequate light for security purpose in hanger, dome and ground during night time.

Hiring and Labour charges for providing adequate A/C ( min of 50 Ton A/C –for each dome) for all 6 Domes, Including Generator with fuel cost for running the AC for approximately 11 Hours / Day – for 4 Days from 10/02/2024 to 13/02/2024. Including dismantling and removing form site. AC should be fitted over the side rooms of appx 5m height and if required, extra connections to be used for additional length.

Temporary Raised Platform with Tent Roof for connecting Dome D & E for visitors –appx 3 m length

Theme Pavilion at the location demanded by the committee –Appx area of 500 sqft. With Synthetic Carpet – 6th Edition of Machinery Exhibition 3D Logo of 15Ft Height – rotatable with electric motor power with waterproof material. A selfie point also to be arranged. Design should be submitted to the committee for prior approval.
