HIRING OF EVENT MANAGEMENT AGENCY/INDIVIDUAL/FIRM FOR RAJSAKHI KARAULI FAIR 2026

Main Entrance Gate (1) - 20ft x 16ft with wooden or pipe framing with attractive decoration and approved fascia. Main entrance gate should be beautifully decorated by ballons during inauguration of mela event.

Stalls with Item - 50 Stalls of Suitable size not less than 100 sq. feet equipped with waterproofing tent (10*10) However it may increase or Decrease as par the availability of space and suitable to appearance To be Selected in Karauli. Stall will be fabricated with good Quality octomom system/Plywood/Jute waterproof & Fire resistant material as per approved Stall Design. The height of stalls shall not be less than 2.5 mtr. All stalls shall be covered with waterproof and fire resistant material, Wooden Platform along with matching approved Stall Design. The whole area over the stalls including pathway between rows of stalls will be beautifully covered. Each stall to be equipped with the following infrastructure:- a. Two tables measuring 5' x 2’ with matching table covers. Counter table to be covered with frill. b. Two Chairs c. Two LED tube lights of 20W each, One Small Fan(If required) d. Ethnic/ traditional decoration on front side. e. Non-woven matching coloured carpet on entire floor area. f. One kanat/Cloth Gate as per decided by Mela Authority to close the stall from front side during the night time. g. Front fascia with the name of participant. h. One Water jug/water container each stall (against refundable security deposit). i. Pathway around the stalls will have to be carpeted. j. One Dustbin bucket size k. One Power Point l. One Decorative Light in Front of Stall.

Reception cum Information office - In octonorm of size 10×10 sq feet with carpet flooring waterproof and fire resistant roof, table-5, chairs-10, Non-woven matching coloured carpet on entire floor area water container, reception desk and all other necessary infrastructure.

Food Court - A separate food court to be developed with 10 food stalls each of size 10x10 sq. feet, wooden platform sufficient sitting space, carpeting, furniture, electricity, water, dustibins (24 Inch) etc. (Dustbins should be clean 3 times a day)

Stage for Cultural Programmes - Platform/ stage for cultural programmes should be Prepare with wooden Platform. Floor of stage to the covered with non-woven carpet. One big size back Drop provided by DPMU shuld be fixed at stage as required, covering to main Stage One separate green rooms along with mirrors, dais and proper décor of the stage. Five 2-seater Sofas with table and 50 nos. good quality-sitting chairs/moodas to be provided.

Entranceways - One entranceway with Red and on inauguration day as printed carpet of good quality shall be provided after carpeting of entire floor. Sound system - PA system of good quality with sufficient speakers to cover whole of the Expo Ground shall be provided. At least 2 fixed mikes and 3 cordless mikes of good quality, sound system (with all necessary modern equipment’s including echo sound system) shall be provided on the stage for cultural programme.

Electricity - Charges including temporary connection charges, cable charges, rental charges if any, Event agency shall also make required deposits and refunds for the purpose.

Generator - Installation and running cost of 62.5 KVA or as per requirement for effective electrical arrangements silent generators With Diesel for power back up (all inclusive).

Security - 3 (2 male and 1 Female) Daily Security Guards (including lady guards) shall be provided by the Event agency from a Certified agency (individual security guard/person should have certificate of any certifying agency) throughout the exhibition period for security of the entire exhibition area, which will be deputed in separate shifts as per the requirement. Event agency shall be fully responsible for the security arrangements of the event, and for any lapse in the security arrangement, Event agency shall be solely and fully responsible. One metal detector gate at the entrance along with two hand devices for security checking shall be made available by the event agency. Security guards will ensure that no inflammable material is carried in the Fair premises and that no smoking activity is carried out in the Fair premises. The event agency will ensure that any plastic carry bags, plastic cups, plastic glasses or any other prohibited plastic item is not used in the entire mela premises including the stalls and food court.
