Hiring of services for NSG MT. Everest expedition 2026

Arrival and Departure arrangements at Kathmandu :-

(a) 1 X 20 seater bus for two days for local duties in Kathmandu on arrival and 1 x 20 seater bus for two days for local duties before departure from Kathmandu on completion of the expedition.

(b) Food and accommodation charges at (Full Board) Kathmandu in Standard 4 Star Hotel for 04 nights prior to departure and 04 nights on completion of the expedition. Charges for Local sightseeing to Pashupatinath and Boudha temple

Custom Clearance. Custom clearance, liaison work, coordination, documentation and all related services at Kathmandu Airport(if required), Sunnoli Boarder and other places as required. (Note: Also Handling Agency will be responsible for moving of expedition stores to Kathmandu and provide reception transport, boarding, lodging with all meals enroute from entry border point to Kathmandu. The agency will be responsible for ensuring safety of stores during transit to Kathmandu and ahead and will make up for losses enroute, if any. Handling Agency will be responsible for all transportation and custom clearance, cost etc, from border to Kathmandu)

Coordination with Govt of Nepal: Complete coordination, working services costs with Ministry of Tourism, Govt of Nepal, Department of Toursim, Nepal Mountaineering Association (NMA), Nepal Tourism boarder (NTB) for completion of all formalities and clearance to include necessary (if required) Permits, Permission and Clearances, including Radio Sets, Satellite Phones, Cameras, DSLR Camera Equipment, Technical Equipment, clothing, Oxygen etc.

Permit charges for the following

(a) Peak Climbing, royalty, and other permits, national park, Guanpalika, SPCC, and all other required expenses - For Everest and 6000m Peak

(b) Basecamp Support Staffs Permit and Paper work, Basecamp Staff must have vaild Government permit of Neighbor peak to stay at BC

(c) All other misc permits/charges/fees applicable for the team member during the entire conduct of the expedition, which are not mentioned in (a) and (b) such as rope fixing cost to Expedition Operators Association (EOA), camping permit and garbage extra fees.

Mov from Kathmandu to Lukla & back

(a) 1X20 Seater bus from hotel to Kathmandu airport (or departure point) on departure from Kathmandu for Lukla and from airport to hotel after completion of the expedition.

(b) Charges for air movement of 16 team members from Kathmandu to Lukla and back after the expedition.

(c) Move of Expedition stores of team (approximately four tons - Lumpsum) from Kathmandu to Lukla (by air or any mode), Lukla to Everest Base Camp by yaks/porters and return (approximately 1000KG - Lumpsum) from Base Camp to Lukla and Lukla to Kathmandu. - Storage should be delivered on time to the expedition team.

Trekking from Lukla to Base Camp & back (Trek in and Trek out)

Food and accommodation in trekking route of member team for as per the itinerary schedule in RPF. Accommodation (incl communication / one functional sim card) will be in good Lodges (Wooden Houses) at Lukla, Phakding, Namche, Tyangboche/Dibuche, Dingboche and Lobuche. High Camp set up - Tent shall be facilitated with full board to the members during 6000m peak climbing

Services at Everest Base Camp for 16 members

(a) Living Tents for team members (Single occupancy Box Tent) at the Basecamp - Box Tent- Certified quality - with Specification only

(b) Sleeping Mattresses with Pillow for each team members

(c) 2 x Kitchen Tent

(d) 1 x Dining Tent with 20 chairs and 10 tables.

(e) 3 x Kero/LPG Gas Heater arrangement at Base Camp for dining tents.

(f) 1 x Store Tents with tarpaulin ground cover in all - having enough space

(g) 4 x Toilet Tents (only for members)

(h) 3 x Shower Tents with all facilities

(j) 1 x Communication Tent

(k) 1 x Medical Tent for NSG to be operated by NSG Team directly

(l) 2 x Generator Sets (2.5 KV) including 300 ltr petrol and 10 ltr lubricants for the entire duration of the expedition - Certified quality only

(m) 2 x Large size Solar Panels with Inverter (Ch capacity) Sets. (minimum charging capacity of one solar panel should be 250 watts) - Certified quality only

(n) Please specify the type of tents, mattress, solar and generator being provided along with the charges. The tents and mattress should be of good quality, spacious and comfortable. - attach full specification file - mandatory

(o) 1 x Entertainment Tent with books, playing items and one smart LED TV (56”), with DTH and internet Connection with subscription and collection of Adventure Hindi & Eng movies.

(p) Tentage: Separate Dining Tent with amenities, Toilet, Shower, Storage & living alpine tents for Agency staff & kitchen staff etc, all involved Nepalese / Local staffs during this NSG expedition, for Basecamp and all high camps.

(q) 400 GB Data pack - Internet at Base Camp for the leader

Base Camp Services to be Provided by the Handling Agency to include following:

(a) Kitchen Staff at Base Camp. Please specify the charges for 50 days stay (approx) at Everest Basecamp, where 4 team members at Base Camp, rest 16 members shall climb high camps

(i) Cooks. 02 x Cooks at Everest Base Camp - with Experience

(ii) Cook Assistants. 01 x Cook assistants at Everest Basecamp

(iii) Kitchen Staff. 05 x Kitchen staff (Labour/ porters to help the cook at Everest Base Camp

Note: All logistics, wages, salary, equipment, insurance, food and accommodation and all transportation fees (land and air) regarding the kitchen staffs to be included. Cooks to be experienced at cooking in altitudes up to and beyond 20,000 feet and should be well trained in culinary skills. Should have participated in at least 2 international expeditions. Meals: Meal charges (cost) for base camp of 16 members at base camp keeping in mind approximately 16 -20 days (approx) which will be spent by climbing team at higher camps above base camp.

Ration. Sumptuous high caloric, all variety rations and required hydration for Team, to be provided for entire duration of the expedition at base camp (different than the regular meals) at Basecamp

(a) Base Camp and (some specific items may require at Camp I / II) - for members. Bill of fare to be as follows:-

(i) Morning Tea.

(ii) Breakfast to include a variety for vegetarian/non vegetarian and egg eaters.

(iii) Tea with afternoon snack.

(iv) Breakfast, lunch and dinner to have a Indian, Nepalese and Chinese cuisine.

(v) Fresh 1 x Non Vegetarian (Meat, chicken or fish) dish every day with lunch and dinner, Extra vegetarian dish for vegetarian members.

(vi) 1 x Fresh vegetable dish with every meal.

(vii) 1 x Dish of Dal.

(viii) Fresh salads

(ix) Fruit with lunch.

(x) Sweet Dish after dinner.

(xi) Evening tea with snack.

(xii) Soup.

(xiii) Evening Hot Drink.

(xiv) Variety of juices, beverages and dry fruit (as approved by the expedition team).

(xv) Variety of sweets, chocolates etc for load ferries (as members of the expedition team)

(xvi) Variety of dry fruits (as approved by the expedition team)

(xvii) 24-48 hours of emergency ration (at baseacmp and camp I and II)

(xviii) All above aspects will be finalized in consultation with the team, some itmes shall be packed from Basecamp in terms of high camp movement, some shall be ready at Camp I at Kitchen as well- after the discussion with Sherpa Sirdar

Ration. Above The Base Camp till Summit Camp (as required in each camps) for entire Climbing Members and Sherpas with important high foods and cooking meals)

(a) In addition to the routine mentioned at serial 10 (a) variety of canned juices, beverages, dry fruit, variety of sweets, chocolates, bars etc will be provided to team, MRE Tinned, Dehydrated variety of food and Hydrated drinks will be collected for higher camps, will be provided to the extent possible, with calories Energy Gel (10 sachet pkt each member)

(b) High Energy Special Ration (meals) for members for the duration above Base Camp. Please specify food items (menu shall be attached) which will be provided by agencies. In addition of 10 (a) and 11(a) with back up supply

Liaison Officer will accompany the team from Kathmandu. Please specify, all expenses, conditions and services of LO nominated by Ministry of Tourism Govt of Nepal for duration of the expedition including daily wages, Insurance, Food and Accommodation & all other applicable charges. (Liaison officer for both climbing and basecamp members)

Facilities and Services for Higher camps (Camp I and II)

(a) Cooks. 02 x Cooks for Higher Camps.

(b) Cook Assistants 02. Cook assistants for Higher Camps

(c) Kitchen Staff. 04 x Kitchen staff (Labour/ porters to help the cook) at Higher Camp. Note: Cooks and Kitchen boy should be in camp I and II.

Note: All logistics, wages, salary, equipment, insurance, food and accommodation and all transportation fees (land and air) regarding the kitchen staffs to be included. Cooks to be experienced at cooking in altitudes up to and beyond 20,000 feet and should be well trained in culinary skills. Should have participated in at least 2 international expeditions.

Tentage. Above Base Camp till Summit Camp :-

(a) Living tents above Base Camp (Camp I, II, III and IV) for members (North Face or Mountain Hard Ware tents or similar - internationally certified only) please mention no of tents being provided for the team of 12 climbers in each camp. Adequate reserve tents will be carried for emergency, certified (no local made) The Northface/Mountain Hardware/or exact Equivalent - Specification and certifications are Mandatory along with no. of tents with sleeping ratio as well.

(b) 1 X Scaled down Kitchen Tents with central working system in Camp I and Camp II- Mandatory

(c) 1 x Dinning Tent -Down Scale in Camp I and II.

(d) 1 x store tent in Camp I and II.

Note: Meals and high foods above Camp I and II served at dinning and for Camp III and Camp IV are to be served in climber's living tents by Sherpas. High and yygienic quality of utensils, cutlery and basic serving dishes. Titanium plate with handle, spoon, fork, mug to be provided to very member, for use above Base Camp.

Sirdar/Sherpas/Staff

(a) Climbing Sherpas to include additional one Sherpa Sirdar

(b)Charges of Sherpa Sirdar to include daily wages, equipment allowances, insurance, food & accommodation, Carry bonus and Summit Bonus. (14 Peaks Summiteer or UIAGM guide)

(c)Charges per Sherpa for Climbing Sherpas for following heads to include daily wages, equipment allowances, insurance, food & accommodation, carry bonus and Summit Bonus.:-

(d) Change of Filming Staff - Start to the End with Camera equipment, registered drone, go pro and other necessary items, to include daily wages, equipment allowances, insurance, food & accommodation and Bonus.:-

Oxygen Cylinder, Mask and Regulator

(a) Hiring Cost per new oxygen Cylinder (Germany EMS./ISO Certified - Latest only) 10 bottles per climbing member (125 Bottles)

(b) Hiring cost per new quality Oxygen mask (Name of brand shall be mention on specification file)

(c) Hiring cost per new - Certified quality only Oxygen regulator (Name of brand shall be mention on specification file)

(d) Camp I: Back up oxygen bottles/cylinders - (Germany EMS./ISO Certified - Latest only) of 4 ltrs (Name of brand shall be mention on specification file)

(e) Camp II: Back up oxygen bottles/cylinders - (Germany EMS./ISO Certified - Latest only) of 4 ltrs (Name of brand shall be mention on specification file)

(f) Camp III: Back up oxygen bottles/cylinders - (Germany EMS./ISO Certified - Latest only) of 4 ltrs (Name of brand shall be mention on specification file)

(g) Camp IV: Back up oxygen bottles/cylinders - (Germany EMS./ISO Certified - Latest only) of 4 ltrs (Name of brand shall be mention on specification file)

(h) Back up oxygen mask and regulator set (per member) - Certified quality only Oxygen regulator (Name of brand shall be mention on specification file)

(i) The handling agency must provide Germany EMS/ISO-certified or equivalent fully functional oxygen cylinders (a minimum of four bottles per Sherpa), certified oxygen masks and regulators with back up as required (100% functional),and backup oxygen cylinders at Camps I, II, III, and IV, with all items exclusively for Sherpas; all brand names and specifications must be clearly stated in the submitted documents.

Communications

(a) Internet services set up at Base Camp and Camp II (for Leader)

(b) Hiring charges for Satellite phone for communicating and reporting with Delhi during the conduct of expedition. (handled by Leader)

(c) Charges for 8 x hand held radio setsB99:B105

(d) Charges for one Base Station

(e) Hiring of 02 x GPS Devices (live online Trackable - with Subscription)

Note: Casualty evacuation in case of emergency from Base Camp and above, including helicopter rescue (with valid insurance company), repatriation, hospitalization, and comprehensive medical and life insurance for all Nepalese staff such as liaison officers, cooks, and Sherpas, shall be arranged and managed by the Agency. Submission of the insurance policy is mandatory - as instructed by the Nepal Government

Evacuation: Casualty evacuation in case of emergency from Base Camp and above, including helicopter rescue, repatriation, hospitalization, and comprehensive and medical coverage (as per valid insurance coverage) for all Members (12+4 Indians) be arranged managed by the Handling Agency. Submission of the Evacuation full proof plan and the insurance coverage policy is mandatory, will be verified by expedition leader.

Kitchen at Base Camp and Higher Camps.

(a) A fully functional kitchen will be established at BC and a scaled down Kitchen at Higher Camps with central working.

(b) Cooks to be experienced at cooking in altitudes up to and beyond 20,000 feet and should be well trained in culinary skills. Should have participated in at least 2 international expeditions. - Bio Data shall be submitted

(c) High and hygienic quality of utensils, cutlery and basic serving dishes. Titanium plate with handle, spoon, fork, mug to be provided to very member, for use above Base Camp.

(d) Adequate Water filters, purifier, thermos to be catered for use at Base Camp/Camp 2 and higher camps.

Weather Forecast: Means of obtaining weather forecast. - Swiss Meteo test and by National agency Weather forecast, during the entire expedition period (at least one international and one national weather forecast reports should be available for the team at a daily basis) -The format and specification of the weather forecasting system to be used should be submitted along with the tender document.

Medical Service with Doctor at Base Camp: One fully functional and reserved (backup) medical camp shall be established at Base Camp, equipped with all essential general medical supplies and necessary medicines provided by the Team Leader. A certified high-altitude doctor (experience bio data, certificate of doctor shall be submitted) will be present throughout the entire expedition period, with full support from the NSG team.

(d) Press meet after expedition in Kathmandu, with the presence of National and Internal Media

Miscellaneous Expenses: Any additional mandatory expenses to be borne by the handling agency, including but not limited to Sherpa meals, rations, logistics, tentage, payments, operational costs, hidden costs, and camp setup, which are not listed above but are required for the execution of the expedition. (a) Second Summit Push with all required equipment.

Special Note: The handling agency must comply with the Eligibility and Qualification Criteria as specified in the RFP. It is mandatory that the agency be licensed under the Tourism Act, 2035 (1978 AD) and be based in Nepal. Failure to submit valid proof of licensing and registration will result in rejection of the proposal. All required mandatory documents and specified credentials must be submitted at the time of tender upload.
