Subject: Submission of Commercial Bid.

1. I/We, the undersigned, being duly authorised on behalf of <Insert Bidder Name>, hereby submit our Financial Bid for Providing Comprehensive Annual Maintenance Contract (CAMC) Services for Digital Language Labs deployed in Government Schools across the State of Haryana by the Department of School Education, Haryana under Tender ID: _______ issued by HARTRON, in accordance with the specifications, terms and conditions contained in this Tender Document.

2. I/We undertake to perform and execute the CAMC services in accordance with the provisions of the Tender Document and within the stipulated timelines prescribed therein.

3. I/We further declare that the following rates quoted by us in the prescribed Financial Bid Format are firm and fixed and are inclusive of all applicable taxes and duties, cost of spare parts and consumables, manpower, supervision, administration, tools, testing equipment, software utilities, travel, lodging, boarding, loading, unloading, insurance and all other incidental expenses required for due performance of the CAMC services. No additional payment on any account whatsoever shall be claimed by us, except as expressly provided in the Tender Document.:--

Note:- The L-1 bidder shall be determined on the basis of the aggregate amount quoted in Column J, inclusive of GST, for all the three categories of Digital Board taken together.

1 Power Adapters

The item-wise rates quoted for Power Adapters, Power Cables, HDMI Cables and USB Cables shall remain firm and fixed for the entire CAMC period and shall not be subject to any escalation or revision during the currency of the Contract. The rates quoted against these items shall not be considered for the purpose of evaluation of bids or determination of the L1 bidder. The item-wise rates of the successful bidder for these items shall be subject to negotiation by Competent Authority before issuance of the Letter of Acceptance (LoA) and the negotiated rates shall be applicable for payment in respect of replacement of such items during the CAMC period, as and when required.

Commercial Bid- Terms, Conditions and Declaration:

1. Currency of Bid: The bid submitted in any currency other than Indian Rupees (INR) shall be summarily rejected. No upward revision shall be permitted on account of any fluctuation in foreign currency.

2. Period of Delivery: We hereby undertake that, in the event of acceptance of our bid and issuance of the Letter of Award/Work Order, we shall commence and provide the Comprehensive Annual Maintenance Contract (CAMC) services for the specified Digital Language Labs in accordance with the timelines, scope of work, Service Level Agreements (SLAs) and other terms and conditions stipulated in the Tender Document and the Contract Agreement.

3. Price: The CAMC rates quoted by the bidder shall be inclusive of all applicable duties and taxes, including GST, and all costs and expenses associated with the due performance of the CAMC, including but not limited to the cost of spare parts, consumables, tools, testing equipment, software utilities, manpower, supervision, administration, overheads, travel, lodging, boarding, communication expenses and any other incidental expenses. No charges whatsoever, other than the CAMC rates quoted by the bidder and the applicable taxes as specified in the Financial Bid, shall be payable by HARTRON/Department under the Contract.

4. Bid Validity: We agree to keep our offer valid for a period of 240 days from the closing date prescribed for submission of bids, as specified in the Tender Document and we shall remain bound by the communication of acceptance within this period.

5. Acceptance of Terms: We hereby certify that we have read and understood all the terms and conditions of the Tender Document and undertake to supply the items in accordance with the same

6. Authorization: We certify that the bidder is a duly registered entity and the person signing this bid is the duly authorized signatory of the bidder.

7. Binding Nature of Bid: We further undertake that, until a formal Contract is prepared and executed, this bid, together with your written acceptance thereof and issuance of Letter of Intent/Award of Contract, shall constitute a binding contract between us.
