EVENT MANAGEMENT & CATERING REQUIREMENTS

Packed Breakfast - Puri-6, sabji – 100g, pickle, boil egg/omelet -1, tea/coffee – 100ml , packed water 500ml

Buffet Lunch (VIP) - Puri/ Parotha Pulao/Biryani, Plain rice, 1 Non Veg (Chicken/Fish) Paneer, Sweet-1, (Salad/Raita/Pickle)

Packed Meal - Rice/ Pulao, Puri, Dal, Chicken/ Fish, Salad, Sweet, Mix Vegetable, 500 ml Water bottle

High Tea - Dry Sweet-1/Veg Cutlet/ Gulabjamun, Cake, Tea/Coffee, water

Session Tea - Tea/Coffee and Biscuits

Stalls for exhibition:Stall size 8 x 10 sq.ft (Bamboo structure) with water proof roofing, carpeting, ceiling, electrification, lighting, necessary furniture (2 tables + 3 chairs with table cloths), ply board for posters fixing (with provision for fixing the posters, like double sided tapes, board stapler gun) etc. as required with arrangement/supply of security and labour

Audio and display: i. Outdoor colour LED panel with size of 2 x 3 m for live display of the programmes in MS Swaminathan hall and video display of the activities in multipurpose ground- 1 nos. ii. Audio system (8 nos. sound box, 16 channel audio mix with 2000-3000-watt compatible amplifier, cordless mike- 4 nos., table mikes with stand -2 nos.,

Pendal for interactive meeting: Seating arrangement for 150 chairs, pendal with water proof ceiling, elevated structure of (dias of 8 ft width), covering from one side with cloth (inside multipurpose ground), 5 tables with table cloth, 8 chairs with cloth covering, lighting

Help desk and registration counter: Registration counter of size 15 ft (length) x 10 sq/ft. with 4 tables and 10 chairs along with cloth covering, 4 partitions for convenience with cloth covering, lighting, P.A system (2 mikes) , provision for a closed structure (8ft x 5 ft) for medical emergency

Food court with sitting arrangement- i. VIP food court of 60 x 35 sq. ft. with 5 numbers of round table, 80 no. of chairs with service desk of 10 numbers with carpeting arrangement, waste disposal and cleaning , lighting (just behind MS Hall)

ii. Food court with water proof ceiling and 300 chairs, 6 counters for food distribution (plant breeding field, upland, area- 80 m (length) x width 40 m), one PA system for announcement, lighting

iiI. One food court (for serving tea etc. at FSRP) with 50 chairs, 2 counters

Welcome arches (gates): i. 25ft.x15ft (main gate on road) ii. 10 ft.x12ft. (mela ground entry) and iii. 13ft.x 12ft. (MS entry facing post office): all with suitable lighting arrangements

Floral and festoon decoration: i. Floral decoration for dais (20 ft length x 2.5 ft width) and hall door (MS Hall) length 6 ft, height 7 ft (natural flowers) Festoon Decoration: ii. 10 ft.x 12ft. (mela ground entry) and iii. 13ft.x 12ft. (MS entry facing post office) iv. 25ft.x15ft (Institute main gate)

Carpeting: i. Carpeting for entrance to MS hall (length 30 m width 4 m) ii. Carpeting – entrance in the mela ground (width 3 m, length- 30 m) iii. Carpeting (red and green) for entire multipurpose ground (45 m length x 35 m approx.)

Generator set for power backup:i. Generator back up for both Hall and exhibition and food court venue (125 KVA with required fuel for 3 days with operator ii. Generator backup for food court (farmers) 20 KVAmultipurpose ground (45 m length x 35 m approx.)

Photography and videography: HD video camera for videography and still photography (soft copy only) also Drones with operator

Bio-toilets for ladies and gents: i. Bio-toilets for ladies and gents 4 nos. in multipurpose ground ii. Bio-toilets for ladies and gents near food court (farmers) 4 nos.(for farmers food court)

Cloth covering: Covering with clothes for walls and fence 2000 sq. (provisional)

Lighting: i. Two vertical illuminance (approx. 30 ft height) for illuminating all sides in multipurpose ground ii. One vertical illuminance (approx. 30 ft height) for illuminating food court (plant breeding) iii. Lighting on both sides of the road for about 100 m length (x 2) v. From main gate to food court lighting on one side (400 m)

Floral bouquets: 15 nos. floral bouquets for 4th January and 10 nos. for 6th January

Banners: Banners for all stalls (name and no.), 3 banners for main gate (roadside), one banner for multipurpose ground, one banner for main entrance for MS near post office, two banners for food courts (only name tags), one banner for interactive session pendal, one banner for helpdesk and one for medical (text will be provided for all the banners) 30 nos. flex banners with frame (miscellaneous sizes), 5 Standees
