Complete arrangement of venue for the Road shows in a suitable and convenient three or four star location or an equivalent independent banquet for full day, as mentioned above, followed by extensive discussions with the members of the media, travel and tour operators, out bound tour managers etc . In addition there will be extensive and broad based discussion with individual travel and tour operators on subsequent day after the roadshows .

Visitor’s book and card collection box has to be arranged by the agency at all the four venues.

PATA india will contact major tour operators, media, send invites, for the event so as to ensure maximum attendance of at least 75 travel operators/media persons per venue at all the four venues.

Agency will have to do the entire décor for the road show at all the four venues.

15 course buffet Dinner will have to be arranged for a minimum of 75 members of trade and fraternity at the road show venue at all the four venues.

Arranging Accommodation for three officials of Goa Tourism at all the four venues.

Transportation to and from the Airport of Goa Tourism officials.

Arranging gifts, souvenirs, tote bags, publicity material for a minimum of 75 tour and travel operators and media persons visiting road show, as per approved sample. Tote bags will contain the following- brochures, Caps, Film CD / Pen drives on Goa, pens, souvenirs and gifts as per sample at all the four venues.

Transportation of all the publicity materials from Goa to the event and back, inclusive of packing and forwarding, arranging customs clearances, arranging display of material at all the four venues.

Arranging lap top, LCD projector, and screen and Internet connection at all the four venues.

Paying all the fees and charges due to the exhibitors, statutory fees, customs charges, etc at all the four venues.

Obtaining all the required statutory permissions in respective countries for the road show at all the four venues.

detailed Report along with achievement, photo coverage and video coverage of the event & brochures (hard & soft copy), kit bag, souvenir item, etc.

Sufficient tables and chairs to be arranged for conducting B-B meetings between sellers and buyers (Minimum 15 tables) at all the four venues

Interior decoration and structures –Theme shall be as per drawings

Packaging—includes packaging of all Goa Tourism material in cartons corrugated boxes, bubble packing, coordinating with Courier agency and ensuring safe arrival of the cargo at the road show venue.

Arrangement of one professional photographer and videographer

Paying space rent, coordinating with the organizers and confirming allotment of space in a suitable star hotel.

Free distribution of 100 nos Goa branded T Shirts with Goa tourism logo and website mentioned on it for Goa branding and publicity for visitors in respective venues

Distribution of 100 Nos. press kits, packages, publicity material to the participants

Printing of 150 nos brochures as per sample

Arranging two executives and one Master of Ceremony with good knowledge of English and local language/ communication skills at the venue during the entire duration of the event.

Distribute pamphlets and folders and CD’s on Goa Tourism to general public in important places of the city, to popularize Goa as a Tourism Destination.
